Planning the Course

  1. THE ORGANIZING COMMITTEE. The first thing to be done by the chapter is to form an Organizing Committee in charge of planning the Chapter Management Training. The duties of this committee are as follows:
    1. Venue: The type of venue that is ideal for the Chapter Management Training course has the following facilities:
      1. A large hall where all participants can be seated
      2. Facilities for the preparation and serving of light refreshments and light midday meal
      3. Access to visual aids - blackboards, flip chart, overhead projector and screen
      4. Probably the most suitable venue for the training would be a school or a hotel, which usually has most of the above facilities.

    2. Promotion: Every chapter officer who does not attend weakens the effect of the training session. An effort must, therefore, be made to ensure that every chapter officer attends. Officers must be convinced that attendance is an essential part of their duties.
    3. Physical arrangements: Even in the organization of a simple meeting such as this, there are many details for the Organizing Committee to handle. It is important that all of these are managed smoothly, as they can make a tremendous difference to the success of the training session. For instance, the best overhead transparency presentation is useless if the projector bulb burns out and no spare is available.
  2. THE SPEAKERS. The best possible speakers and discussion leaders should be obtained for this training session. The National Organization may be able to help by offering speakers or recommending sources.
  3. THE PROGRAM. The responsibility for drawing up the program of the Chapter Management Training lies with the local Board of Directors. Following is a suggested program:
    1. OPENING AND PROGRAM REVIEW. Roll call; welcome; purpose of the training session; outline of the sessions and objectives of each one; group assignments for completion the next day
    2. LOCAL MANAGEMENT AND RESPONSIBILITIES OF THE BOARD MEMBERS.The responsibilities of the Board members to the chapter, the community, the members, and the organization.
    3. LOCAL ACTIVITIES. The Areas of Opportunity and the Commission System working in your chapter; the JCI Community Project Planning Process
    4. COMMUNICATIONS. How to develop a public relations program and internal communications; the key for membership involvement and activation
    5. MEMBERSHIP INVOLVEMENT. Membership recruitment, involvement, activation
    6. LEADERSHIP IN VOLUNTARY ORGANIZATIONS. What is leadership? Responsibilities and duties of a leader
    7. PLANNING. Review and detailed discussion of the chapter's Plan of Action and Annual Program
    8. FINANCES. Review and discussion of the chapter's financial management system
    9. MEETINGS. The secret of successful meetings that will attract members; making key decisions
    10. OPEN FORUM AND EVALUATION. An opportunity to discuss any issue related to the training and the chapter; a positive wrap-up of the training session
